IT Sourcing Transition and Transformation

Once the sourcing contract has been signed as part of the RFP, the transition and transformation (T&T) process begins until the ‘change of control’ and ‘steady state’.

A transition is the change to a new service provider. Processes and services remain unchanged. After testing and acceptance by the customer, the change of responsibility, the so-called ‘change of control’, is transferred to the service provider. A transformation means a significant change, such as a new service or the expansion or optimisation of a service by the provider, for example to enable economies of scale.

Governance

Steady state and transition structures are defined. Contract, services and future roles are individually known and understood.

People and Roles

The T&T team is selected and ‘sworn in’. The team has sufficient decision-making powers and management attention.

Planning

The risks are known and managed. Detailed plans are in place, such as schedules, resources and access.

Reporting

Tasks and responsibilities are documented. Performance reports and key figures are available for quality assurance purposes.

Communication

The participants have a common narrative, which is communicated to internal and external stakeholders in a coordinated manner via various channels.

 

 

 

 

How does a T&T become successful?

The critical success factor is a balanced relationship of interests between all parties, a WIN-WIN situation. To achieve this, it is essential to record the initial situation, expectations and, in particular, the costs in a business case before outsourcing.
